Responsibilities

  • Coordinate and schedule complex multi-stage interviews across various time zones and departments
  • Manage all candidate communications to ensure timely updates and a high-touch experience
  • Maintain and update candidate records within the Applicant Tracking System to ensure data accuracy
  • Support interview logistics by troubleshooting technical issues and providing necessary resources to interviewers
  • Prepare and distribute formal offer documentation and employment agreements with high attention to detail
  • Facilitate the transition of new hires by coordinating seamless handoffs to the HR and onboarding teams
  • Monitor recruitment workflows to identify and resolve bottlenecks in the hiring process
  • Act as the primary point of contact for candidates throughout the interview lifecycle
  • Collaborate with recruiters and hiring managers to align on scheduling priorities and interview panel requirements
  • Assist in the collection of candidate feedback and the generation of recruitment activity reports

Requirements

  • Proven professional experience in a coordination or administrative support role
  • Exceptional attention to detail with a track record of maintaining high accuracy in data entry
  • Strong verbal and written communication skills with the ability to interact professionally with all levels of staff
  • Demonstrated mastery of calendar management and scheduling software in a professional setting
  • Ability to manage multiple competing priorities and meet deadlines in a fast-paced environment
